- Class Description
The purpose of this class is to provide advanced level administrative support services to assigned department, school or division.
- Minimum Requirements
High school diploma/GED and seven years related office experience or Associate’s Degree and five years related office experience; knowledge and experience using Microsoft Office applications; must complete and pass Microsoft testing modules which includes Word and Excel and demonstrate the ability to type 45 wpm; experience in higher education preferred. (Candidates with proof of current Microsoft Office Expert Specialist Certification do not need to test.)

- Assist and provide information to students, faculty, administrators and the college community in person and on the telephone.
- Assist with special projects, meetings and/or special events.
- Serve as liaison between department or program and other offices or organizations.
- Research, analyze and process data into college systems.
- Maintain records and files.
- Assist with area budget process.
- Compile reports, documents, forms and correspondence.
- Create and track check requests, requisitions, work orders and other request forms.
- Manage calendars for department personnel.
- Process and manage all relevant course, program and/or personnel paperwork.
- Position Specific Essential Duties
Position Specific Essential Duties:
- Facilitate the operation of department at a high-quality, independent level including: a) calendar management for the dean and other department personnel; b) planning and coordination of meetings, special events and/or projects; c) delegation of assignments on behalf of the dean; d) coordination of travel arrangements; and e) providing work direction and mentoring staff, work study students and summer workers.
- Provide quality support to the dean in the operation and support of enrollment growth at the Extension Centers, including: a) calendar management for the dean and the extension center directors; b) planning and coordination of meetings, special events and/or projects; c) delegation of assignments on behalf of the dean; d) coordination and/or tracking of marketing and promotional campaigns, as needed; and e) provide support to extension center directors for scheduling analysis and reporting needs.
- Perform office manager duties for respective office location and serve as primary back-up for the short-term absences of an area supervisor and/or higher graded support person.
- Assist with and coordinate budgets of all departmental directors reporting to the dean, including: a) development assistance, support, monitoring and maintenance; b) coordinate collection and preparation of financial and operation reports for CE; c) research, collect and compile information from external sources for purchasing decisions and budget management before review by the dean; and d) liaison between the dean, area personnel, extension center personnel, and the director and assistant of CE Budget & Finance.
- Assist the Dean in the execution and analysis of reports and documents from Continuing Education divisions, the Extension Centers, other CCBC departments, and/or external partners, typically of a sensitive and/or confidential nature. This includes compiling, designing/creating, and editing of reports, spreadsheets, and other documents.
- Serve as contact, liaison, and intermediary with internal stakeholders/departments across and college, and external partners such as (county and state agencies, schools, community organizations, and private sector decision-makers)
- Distribute critical information to all Continuing Education staff which includes: regular preparation and distribution of an Administrative Operations newsletters with important collegewide and department operational information; time sensitive announcements, calendars, and documents; and posting of information and documents on the Continuing Education SharePoint site.
- Provide administrative, budgetary, invoicing, and logistical support for the Instructional Design and Assessment department.
